KICKOFF
It’s always exciting to start a new project. Kickoff is one of the most important phases of any project and a key indicator to a successful, inclusive, and collaborative outcome. We invest a lot of heart and hustle into our work and since we’ll be working together for several months (or years), we want to get to know you!
what to expect
First, we'll begin to build rapport and comradery through team introductions, schedule discussions, and strategic planning. Together, we will review your interior design concepts, floor plans, and FF&E specifications to learn more about your goals and expectations.
Here's a glimpse of what you can expect during Kickoff
- Project and team member introductions
- Establish roles and expectations
- Set-up project calls
- Distribute contact information
- Establish communication flow
- Project schedule review
- Mobilization and internal project set-up
02.
DISCOVERY
Discovery marks the start of budget development and begins upon receipt of the interior floor plans, and FF&E and OS&E specifications. We begin by studying the documentation, digging into the details, asking questions, and doing the legwork to identify challenges and brainstorm solutions. Then, we create key documents to support the overall project plan.
What to Expect
A few of the deliverables that we will be developing to support a successful FF&E and OS&E procurement process include:
- FF&E quantity matrix
- Bill of Quantities (BOQ)
- Comparative Cost Analysis
- Value Engineering (VE) survey
- Budget
03.
PRODUCTION
Whether your goal is to focus on budget, schedule, sustainability, or local sourcing, we have many diverse resources domestically and abroad. We specialize in hospitality projects with mostly custom FF&E or OS&E . Our vendor selection process is an inclusive and collaborative group effort between the interior design team and client. Finding the right supplier is key to a successful outcome. We believe in keeping things aboveboard and do not accept commissions or rebates from any vendors, which allows us to focus on your goals.
what to expect
During the Production phase, your project starts to come to life. Althought it's the longest phase, it's also very exciting.
What will we be doing?
- For starters, we'll be creating purchase orders for all FF&E and OS&E related to your project
- We'll be doing a lot of accounting tasks such as reconciling invoices, processing payments to vendors, tracking sales and use tax, tracking costs for freight, and ongoing management of the FF&E and OS&E budget
- We'll be tracking all pre-production submittals between the FF&E manufacturers and the interior design team which include shop drawings, material samples, finish samples, and more
- We'll be acting as the main point of contact for all FF&E and OS&E related matters
- We'll send you weekly reports that show the status of your purchase orders, pre-production approvals, payments to vendors, financial status, FF&E and OS&E budget updates, and more
- We'll be collecting all vendor warranties, assembly instructions, flame certificates for all fabrics, as well as care & maintenance documentation to include in your final project book
- We'll send you progress photos from manufacturers showing photos of your FF&E furniture in an unfinished state so that the interior design team can evaluate the manufacturers overall execution
- We'll be working closely with the FF&E installation teams to provide them with assembly instructions and guestroom matrices to use in accordance with the installation plan
- We'll be reconciling orders that deliver to the warehouse and addressing any damage or freight claims as needed
- We'll begin issuing final payments and closing out orders
- ...and that's just a glimpse of the work we'll be doing
04.
INSTALLATION
Organization is the key to a successful FF&E and OS&E project installation. With hundreds of line items for hundreds of guestrooms and numerous public area spaces, we simplify the installation process by using a cloud-based system that can be accessed while at the warehouse, in the back of a truck, or while on-site. Our install dashboard increases efficiency, reduces redundancies, documents punch-list items, and tracks progress in real-time.
05.
CLOSE-OUT
Don’t get stuck with endless loose ends. The Pineapple team will stick around to resolve any punch list issues and close-out all vendor accounts. Additionally, you’ll receive an organized digital binder with all project records, warranties, as well as care & maintenance instructions. We provide you with all final project reports including financial reports, Use Tax reports, attic stock inventory reports, and more.
